Role Overview:

  • Act as the main point of contact for retail stores regarding facilities and maintenance related issues, service requests and emergencies.
  • Manage P360, the reactive maintenance reporting platform to ensure store maintenance issues are raised, correctly prioritized and actioned within the required SLA.
  • Respond to and support emergency maintenance situations ensuring attendance is arranged quickly and communication with key stakeholders is maintained.
  • Schedule and oversee all planned and preventative maintenance servicing across the store estate. Maintain accurate records of service visits and any agreed remedial works are completed within a timely manner.
  • Ensure compliance to all legislative requirements is maintained, ensuring relevant documentation and compliance certifications are available
  • Day to day management of additional facilities services such as refuse collection, hygiene waste, security services and utility supplies to ensure stores are operating effectively.
  • Build and maintain great relationships with key suppliers and external contractors to ensure the best possible service is delivered. Maintain highly communicative relationships with the Retail field and store teams to provide support and issue resolution.
  • Partner with external vendors to track and approve invoices, manage spend and costs with the F&M budgets and support with internal monthly reporting and forecasting .
  • Support relevant property projects such as new store openings, refits, relocations, and closures by managing supplier accounts and providing support to store teams operationally as they begin trading.
  • Partner with the Retail Operations Manager to ensure compliance with H&S regulations across the store estate. Conduct follow ups with Store Managers where required to ensure compliance actions are completed and maintenance issues are raised correctly.
  • Conduct regular store visits in order to identify and prioritise store improvement requests. Co-ordinate regular reviews of outstanding actions and prioritise works according to impact and cost.

The Must Haves

  • Previous experience of F&M coordination, preferably in a Retail environment
  • Strong organisation and prioritization skills with the ability to multitask whilst maintaining attention to detail in a fast-paced retail environment.
  • Flexible and agile approach with great use of initiative.
  • Excellent communication skills and able to influence and build relationships internally and externally.
  • Experience in building systems such as HVAC, Fire Safety, electrical and general maintenance.
  • Knowledge and understanding of compliance legislation and Health and Safety practices.
  • Proficient in Microsoft Office and confident in basic Excel functionality.
  • Ability to provide weekend and out of hours support for emergency maintenance issues
