The Team Assistant is responsible for performing administrative assistant responsibilities to the VP-GM of the brand. Additionally, the Team Assistant is responsible for managing and organizing various brand-related events and meetings. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The Brand Event Coordinator will play a crucial role in ensuring the success of brand events and meetings. This role requires effective calendar management to ensure smooth scheduling and execution of brand meetings.
PRIMARY DUTIES
Brand Communication
Communicates with high-level personnel within and outside the organization, both domestically and internationally.
Maintains confidentiality in performing duties for the brand.
Executes a significant level of business communications, via Microsoft Outlook, PowerPoint and Excel.
Sorts and routes incoming mail makes copies of correspondence or other printed matter; prepares outgoing mail.
Calendar Management
Maintain and manage the calendar for Brand leadership.
Schedule brand meetings, conferences and events and ensure timely communication.
Brand Meeting Logistics and Coordination:
Arrange and coordinate logistics for Brand and Region related meetings.
Create agendas, presentations, and meeting notes for brand meetings.
Complete all expense reporting for Brand Leadership, conferences and events
Travel Management:
Coordinate international travel reservations and itineraries for Brand leadership.
Ensure all travel arrangements are efficiently handled for Brand meetings, conferences and events
Performs other duties as required/assigned by manager.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
5+ years experience in marketing/events, secretarial/clerical experience or equivalent skills and abilities.
Proficiency in Microsoft Word, Excel and PowerPoint.
Excellent oral and written communication skills.
Strong attention to detail and organization.
Ability to perform job functions in a competent, professional and customer oriented confidential manner.
Ability to handle multiple tasks with little or no supervision.
Proven organizational and time management skills to prioritize assignments, manage multiple projects simultaneously, under deadline pressures and with fluctuating priorities.
