The Executive Assistant provides executive level support to business leaders in all aspects, including event planning, diary management, and travel.

Primary Duties:

  • Manages travel arrangements, including arranging appropriate flights, visas, hotels, ground transportation and meeting agendas for extensive and complex international travel.

  • Reconciles and expenses all accounts and travel expenses for senior leadership according to corporate travel policy in a timely manner; troubleshoots any reimbursement issues.

  • Manages calendars, coordinates schedules, makes appointments, arranges meetings and events, prepares agendas and minute takes where required, reserves and prepares facilities. 

  • Composes and types correspondence from rough drafts and makes changes in grammar, punctuation, and spelling as needed. Organizes and maintains confidential file system files, correspondence and other records. Makes binders and other printed material packets.

  • Exercises initiative, independent judgment and discretion in screening calls, greets and escorts visitors, and corresponds to written and oral requests for information.

  • Coordinate other group needs: printing and binding for group presentations, ordering office and printing supplies, meeting room support, etc.

  • Administers the travel policy for the region, negotiates hotel rates, and acts as escalation point for all travel related issues. 

  • Communicates with high level stakeholders within and outside the organization, both domestically and internationally. 

  • May lead or mentor support staff for the region.

  • Performs duties consistent with the Company’s AAP/EEO goals and policies.

Knowledge, Skills and Abilities Required:

  • Bachelor’s degree desired or equivalent experience.

  • Proven administrative experience at a senior level

  • Ability to demonstrate effective multi-tasking and a high-level of organization and coordination skills

  • Exceptional organizational and communication skills–able to communicate effectively with a variety of audiences, including Board members, executives, and partners

  • Ability to demonstrate strong stakeholder management and relationship building both internally and externally

  • Proven ability to manage multiple priorities with excellent follow through to meet deadlines in a fast-paced environment

  • Quality driven. Consistently aims for high standards

  • Strong project management skills and event planning experience required

  • Excellent sense of discretion and confidentiality with highly sensitive information

  • International and domestic travel experience preferred

Working Conditions:

Normal office environment.Some travel is required.

Wolverine Worldwide has a flexible, hybrid work schedule, with three days in office and two days remote.
